Go Wild –Grow Wild 2019 Exhibitor Contract and Terms and Conditions

TERMS AND CONDITIONS

1. The exhibitor agrees to pay Carolinian Canada/Go Wild – Grow Wild 2019 the sum stated on page two of the registration and/or stated value of the exhibitor booth costs and associated fees.

2. All electrical wiring and outlets shall be at the Exhibitor’s expense. All operating electrical equipment used in the exhibit must have CSA or equivalent provincial power authority approval.

3. Space contracted by the Exhibitor may not be sublet without the prior written permission of Management. The Exhibitor may not distribute literature or promotional material from a third party without the prior written consent of Management.

4. The exhibitor by execution of this contract, hereby agrees to provide proof of third party legal liability insurance for all liability arising out of bodily injury, property damage which might be suffered by any person, persons or corporations imposed by law, such insurance to be for not less than $2,000,000.00 per occurrence or loss, to be in full force and effect at all times during the occupancy period contracted for. Carolinian Canada/Go Wild – Grow Wild 2019 requires the exhibitor to provide proof of insurance coverage, which includes the naming of Carolinian Canada Coalition, the Western Fair Association and the Corporation of the City of London herein as additional name insured with the exhibitor.

5. Products that are promoted (including samples) or sold at Go Wild – Grow Wild 2019 will want to recognize the target audiences – adventurers, gardeners, nature lovers, families, green living folks and messaging “Greening the Future Together’ while respecting the values of Carolinian Canada and our interest to ‘Save -  Steward – Seed’ local habitat and biodiversity using best ecological practices. Go Wild – Grow Wild/Carolinian Canada reserves the right to close the Exhibitor’s booth or remove an unqualified product without refund of vendor fees.

6.  Management reserves the right at any time to alter or remove exhibits or any part thereof, including printed materials, product, signs, lights, or sound, and to expel exhibitors or their personnel if, in Management’s opinion, their conduct or presentation is objectionable to other Show participants and/or attendees or is beyond the contracted space and maximum height set by the show.

7. Go Wild – Grow Wild /Carolinian Canada reserves the right to decline any exhibitor application, and has the right to cancel any contract without refund on violation of any rule, regulation or term of this contract. The decision or decisions on booth allocation and set ups are at the discretion of Go Wild – Grow Wild/Carolinian Canada.

8. The exhibitor agrees to have the exhibit complete and in the space contracted for showing no later than 4:00 pm on Friday, April 5, 2019 and leave the exhibit in place until the official closing at 4:30 pm on Saturday, April 6, 2019. Go Wild – Grow Wild does not offer storage. Exhibitor set up can begin Friday April 5th at 11am and be completed before 4pm the same day (prior to our Kick Off event beginning at 4pm that evening which you are invited).

9. The Exhibitor may use Go Wild – Grow Wild logo to promote only his/her participation at the Show. It cannot be used in any way that is perceived as an endorsement by Carolinian Canada/Go Wild – Grow Wild of the Exhibitor’s company, product, and/or service.

10. The exhibitor is responsible for setting up and taking down their display, products or materials and must ensure take down is completed in a timely manner once Go Wild – Grow Wild has ended at 4:30 pm. Exhibitor must ensure their booth is staffed at all times during the expo hours.

11. Draws: Prize draws taking place at vendor booths must receive prior approval from Go Wild – Grow Wild 2019.

12. Any exhibitors selling or sampling food must ensure compliance with Middlesex London Health Unit standards and Western Fair District and ensure all forms and paperwork are completed within deadlines outlined in package. Package will be emailed upon completion and payment of exhibitor contract.

13. All goods shipped to the Show must be clearly marked with the name of the Exhibitor and the number of his/her booth location. Goods must not be shipped to the Show for shipping charges to be paid on arrival as these will not be accepted by Management. Management assumes no responsibility for loss or damage to goods before or during the period of the Show, or after its closing.

14. Any exhibit(s) not removed from the building or grounds by the end of the specified move out deadline of 7pm Saturday April 6th, will be charged a $100 late fee per day. Go Wild – Grow Wild/Carolinian Canada cannot be held responsible for any damages or losses incurred by the exhibitor from failure to remove exhibit by move out deadline.

15. A 50% refund for exhibitor cancellation may take place 60 days prior to the event. Payment is non-refundable if application is cancelled within 60 days prior to the show opening date.

16. Management reserves the right at its sole discretion to change the date or dates upon which the Show is to be held and shall not be liable in damages or otherwise by reason of any such change. In addition Management shall not be liable in damages or otherwise for failure to carry out the terms of this Agreement in whole or in part where caused directly or indirectly by or in consequence of fire, storm, flood, war, rebellion, insurrection, riot, civil commotion, strike or by any cause whatever beyond the control of Management whether similar to or dissimilar from the causes enumerated herein.
